These documents are sent to customers, partners, employees, or suppliers; a copy of the original document is physically filed and archived in the enterprise.  Should an inquiry about or a problem relating to a transaction arise, access to the archived documents is most always required in order to resolve the issue. Take an insurance company as example, the insurance company prints policies to be sent to their customers. A policy is printed, enveloped, and sent by mail. A copy of the policy is placed in the customer file.
